The short answer

The short answerAccounting needs a one-time set-up pack and a small monthly flow. To set up we need read-only access to your accounting software or we create it, bank statements from 1 April, and your GST and TDS logins. Every month, sales invoices, purchase bills and settlement reports come in through bank feeds and a WhatsApp thread.

Which documents do you need for Accounting & MIS?

11 documents in 3 groups. The note under each one says what format works and how recent it must be.

To set up

  • Read-only access to your accounting software, or we set up Zoho Books or Tally for youA viewer login is enough; we never need payment rights.
  • Bank statements from 1 April of the current financial year, or the last audited balance sheet as the opening positionPDF export from net banking with the bank's header; screenshots are not accepted.

Why do applications get rejected?

  1. Bank statements as screenshots

    Reconciliation needs the full statement as a PDF or Excel export from net banking, with every month covered.

  2. Purchase bills without GSTIN

    A bill that does not show the supplier's GSTIN cannot be matched to GSTR-2B, so the input credit is lost. Ask suppliers for a tax invoice.

  3. Marketplace reports missing

    Amazon, Flipkart and Swiggy settlements net off commissions and TDS. Without the settlement report the sales figure is wrong.

  4. Personal and business spending mixed

    Business expenses paid from a personal account are still bookable, but each needs a bill and a note. A separate current account halves the work.

Questions founders ask about Accounting & MIS documents

What do you need to set up the books?

Read-only access to your accounting software, or we set up Zoho Books or Tally for you; bank statements from 1 April of the current year or the last audited balance sheet; the GST login for GSTR-2B and the TRACES login for TDS; and a list of how you want expenses grouped.

What do you need every month?

Sales invoices raised or access to your billing system, purchase bills and expense receipts (phone photos are fine), payment gateway and marketplace settlement reports if you sell online, and the salary sheet on the Complete plan. Bank feeds bring the rest in automatically.

What is needed at year end?

Invoices for laptops, equipment or fit-out bought during the year for the fixed asset register, loan statements and interest certificates, and a closing stock count if you hold inventory. Twelve reconciled months mean the audit file is ready in April.

Do we need to share our banking password?

No. Most banks offer a read-only or view-only login, and Zoho and Tally connect through bank feeds that do not carry payment rights. Where neither exists, a monthly statement export works.

How do we send documents?

One WhatsApp thread per month, a shared drive folder, or email to a dedicated address, whichever you already use. We acknowledge each document and chase what is missing before the 5th so the books close by the 10th.
